How to Add Custom Email Signature in Apple Mail on Mac?

Margaret Williams1 month ago07 mins

Creating a custom HTML email signature in Apple Mail can be quite difficult. In contrast to many other applications that have an option of inserting code, Apple Mail’s text editor can strip the code, corrupt table layout, or simply display custom graphics as question marks.

When using a professional HTML signature which includes custom links, social media icons or company logos, one needs to use an exact approach to embedding the code in native form.

How to Insert a Custom HTML Email Signature in Apple Mail?

In order to trick Apple Mail that you have created a signature and it would not strip HTML from your letter, you need to create the signature in settings of the application, locate the file in your system and then use TextEdit to change it.

Step 1: Create a Placeholder Signature

  1. Start Apple Mail on your computer.
  2. Go to Mail > Settings in the menu bar at the top of the screen (Mail > Preferences for older versions of macOS).
  3. Click the Signatures tab near the top of the window.
  4. In the middle column, click the + button to add a new signature.
  5. Call it something memorable; TempHTML is suggested.
  6. Add a simple placeholder word in the preview window on the right—PLACEHOLDER.
  7. Close the settings window. (This step will make Apple Mail create the required configuration file on your computer).
  8. Close Apple Mail with Cmd + Q.

Step 2: Locate Your Signature File in Finder

  1. Open Finder application in your Mac computer.
  2. Go to Go option in the menu bar and choose Go to Folder… (Shift + Cmd + G).
  3. Type in the following path and hit Enter key: Plaintext

~/Library/Mail/

  • Find the folder beginning with “V” and having the latest version number (example: V10, V11), and click on it.
  • Browse MailData > Signatures.
  • Category the files in it according to Date Modified and search for .mailsignature file.

Step 3: Replace the Code with Your HTML

  1. Right-click on the new .mailsignature file that you have created, then select “Open With,” and pick TextEdit.
  2. Then open up your HTML signature file in TextEdit.
  3. In your .mailsignature file, look below the property list header and highlight everything from the <body> tag until you get to the </body> tag.
  4. Now delete all this information and type in your own HTML code.
  5. Then click Command-S to save your file.

Step 4: Lock the File to Prevent Overwriting

  1. Apple Mail tends to overwrite the signature file each time you access its Preferences. To stop it from overwriting your HTML codes:
  2. Right-click the newly edited .mailsignature file using Finder and select Get Info.
  3. Select the Locked option.
  4. Close the Info window.

Step 5: Verify Your Signature

  1. Open up Apple Mail and go to Mail > Preferences > Signatures.
  2. Choose the signature you wish to edit. You should be able to see the rendered HTML code for your signature in the preview area.
  3. Drag the signature over to your chosen email account on the left, and then choose the signature from the drop-down box.

Conclusion

However, if one decides to add their own HTML signature in Apple Mail, they need to engage in a little file tweaking. This process will allow them to have a professional look in each email that they send out. All that is needed is for one to replace the codes with the right ones and lock the file to avoid any further changes by Apple Mail.

The individual needs to take their time when doing this and store the images on a web server in a secure place. The individual should also ensure that he or she sends an email to a few clients as a way of testing whether the signature works.
